1. The Service

AnnualVault is a software-as-a-service (SaaS) platform that enables users to track annual renewals, receive reminder notifications, store documents securely, and analyse recurring annual costs. The Service is provided for organisational and informational purposes only.

We do not:

• Provide insurance, financial, legal, or regulated advice
• Act as an insurer, broker, comparison site, or intermediary
• Enter into contracts with third-party service providers on your behalf

You remain solely responsible for managing, renewing, cancelling, or switching any third-party services.

2. Eligibility

You must:

• Be at least 18 years old
• Have legal capacity to enter into a binding contract
• Use the Service only for lawful purposes

Landlords confirm that they remain fully responsible for complying with all statutory property compliance obligations.

3. Account Registration and Security

You are responsible for:

• Maintaining accurate account information
• Keeping your login credentials secure
• All activity carried out under your account

We are not liable for any loss or damage arising from unauthorised access caused by your failure to safeguard credentials.

4. Reminders and Notifications

We aim to send automated email reminders at configurable intervals (including 60, 30, and 7 days before renewal dates). However:

• Reminder delivery is not guaranteed
• Emails may be affected by spam filters, outages, or incorrect user data
• You remain responsible for tracking and meeting renewal deadlines

The Service should not be relied upon as your sole compliance or renewal management system.

5. Document Storage

You may upload documents for personal reference. You confirm that:

• You have the legal right to store and access all uploaded documents
• Documents do not infringe third-party rights

While we use industry-standard security measures, we do not guarantee that stored documents will be free from loss or corruption.

6. Paid Plans and Billing

Certain features require a paid subscription.

• Prices are displayed inclusive of VAT unless stated otherwise
• Subscriptions are billed in advance on a recurring basis
• You may cancel at any time via your account dashboard

Cancellation stops future billing but does not automatically trigger a refund except as outlined below.

7. 30-Day Money-Back Guarantee (Refund Policy)

We offer a 30-day money-back guarantee on all paid plans.

You are eligible for a full refund if:

• You request cancellation within 30 days of initial purchase
• The request is made through your account or by contacting support

Refunds:

• Apply only to the first subscription period
• Are returned to the original payment method
• May take up to 10 working days to process

After 30 days, all fees are non-refundable.

8. Acceptable Use

You must not:

• Use the Service unlawfully or fraudulently
• Attempt to gain unauthorised access to systems
• Upload malicious code or harmful content
• Resell or exploit the Service without permission

We reserve the right to suspend or terminate accounts that breach these Terms.

9. Intellectual Property

All intellectual property rights in the Service, including software, branding, and content, belong to us or our licensors.

You are granted a limited, non-exclusive, non-transferable licence to use the Service for personal or internal business use only.

10. Availability and Changes

We may modify, suspend, or discontinue any part of the Service at any time. We do not guarantee uninterrupted availability.

We may update these Terms from time to time. Continued use constitutes acceptance of updated Terms.

11. Limitation of Liability

To the maximum extent permitted by law:

• We are not liable for missed renewals, lapses in cover, penalties, or increased costs
• We are not liable for indirect, consequential, or economic losses

Our total liability is limited to the fees paid by you in the 12 months preceding the claim.

Nothing limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under UK law.

12. Termination

You may stop using the Service at any time.

We may suspend or terminate access if you breach these Terms or misuse the Service.

13. Governing Law

These Terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction.
